HBS is involved in the production of many events across the globe, most notably the FIFA World CupTM 2026, Rugby World Cup 2027 and the FIFA Women’s World Cup 2027TM.
Purpose
Are you ready to join the dynamic world of international sports broadcasting? Our Engineering Department is at the heart of making global sporting events come alive for billions of viewers worldwide!
We’re looking for a Project Management Assistant to join our innovative team that bridges technical excellence with event management.
Working within our Engineering Department, you’ll be part of a team that manages broadcast engineering and infrastructure, power, telecommunications and energy solutions. We coordinate multiple high-profile projects while ensuring seamless corporate operations. This role offers a unique blend of project coordination and corporate support, making it perfect for someone who loves both technical precision and event management!
Main Activities / Responsibilities (Primary Role of the Job)
Corporate Support
- Provide crucial administrative support to the Engineering Manager and Coordinators
- Manage correspondence, planning and core team logistics
- Handle travel & accommodation bookings
- Coordinate inter-departmental communication
Project Coordination
- Manage technical supplier relationships through our PMO tool
- Coordinate staffing plans, including:
- Processing staff lists
- Managing accreditation requests
- Coordinating IT needs
- Handling visa applications
- Support workshop and seminar organisation
- Provide on-site support during events
- Ensure smooth communication between HBS departments and technical suppliers
Position Relevant Skills (Education / Work Experience / IT)
Required Skills & Experience
- Previous experience in fast-paced event environments
- Excellent organisational and multi-tasking abilities
- Strong attention to detail and data accuracy
- Proficiency in Microsoft Office suite
- Fluent English (written and spoken)
Personal Qualities
- Adaptable and flexible approach to work
- Strong problem-solving abilities
- Comfort with learning new tools and systems
Travel Requirements
- Willingness to travel internationally
- Extended stays during events (e.g., two months in the U.S. for the FIFA World CupTM 2026)
- Short-term assignments (e.g., 20 days in Tokyo)
