You’ve probably watched a football game at some point in your life. Well, if it was a FIFA World CupTM match, it was likely filmed and produced by the HBS team. HBS is involved in the production of many events across the globe, most notably the FIFA World CupTM 2026, Rugby World Cup 2027 and the FIFA Women’s World Cup 2027TM.

Purpose

Did you know that producing a single FIFA World CupTM requires coordinating travel for hundreds of broadcast professionals across multiple countries? As our Corporate Travel Logistics Assistant, you’ll be the mastermind ensuring our camera crews, technical directors, and production teams can transition smoothly between venues.

Your travel coordination skills will directly impact how we capture and broadcast the world’s biggest sporting moments to millions of viewers.

Working within our Corporate Travel division, you’ll be instrumental in orchestrating the international movements of our dedicated professionals, making sure they arrive where they need to be, when they need to be there.

Main Activities/Responsibilities (Primary Role of the Job)

Travel Planning & Coordination

  • Research and secure optimal travel arrangements (flights, hotels, trains) for HBS Core Team members
  • Review daily travel requests and transform them into seamless travel experiences
  • Implement and maintain compliance with corporate travel policies
  • Manage relationships with travel providers and negotiate the best solutions

Documentation & Communication

  • Create and maintain detailed traveler profiles, including preferences and loyalty program details
  • Provide clear, timely communication to team members about their travel arrangements
  • Generate and distribute comprehensive travel documentation
  • Liaise with the Finance department for invoice processing and budget tracking

Service Excellence

  • Act as the primary point of contact for all corporate travel needs
  • Monitor and resolve any travel-related issues or changes
  • Ensure high-quality service delivery while maintaining cost-effectiveness
  • Coordinate various transport solutions, including Uber accounts, car rentals, and more

Position Relevant Skills (Education/Work Experience/IT)

  • Previous experience in corporate travel coordination or as a travel agent
  • Strong organisational skills with meticulous attention to detail
  • Excellent problem-solving abilities and a proactive mindset
  • Fluent in English; additional languages are a plus
  • Proficiency in standard Office software and travel booking tools
